We collect the data you voluntarily provide, in particular through the quote request form:
- First name, last name and job title
- Company name
- Email address and phone number
- Destination country / port
- Product specifications (species, dimensions, volumes)
- Documentation preferences (EUDR, certifications)
Exchanges via WhatsApp or email may also generate contact and commercial negotiation data.
03 Purposes of processing
- Responding to quote and information requests
- Managing the business relationship and orders
- Preparing the related EUDR and traceability documentation
- Handling logistics follow-up and operational communications
04 Legal basis
Processing is based on your consent (quote request), on the performance of a contract or pre-contractual measures taken at your request, and on our legitimate interest in developing our business.
05 Recipients
Your data is intended for AYAWOOD's sales and logistics teams and, where applicable, our transport and documentation partners, strictly as needed to fulfil the order. It is never sold to third parties.
06 Retention period
Data relating to a quote request is kept for three (3) years from the last contact. Data linked to an order is kept for the period required by applicable accounting and regulatory obligations.
07 Transfers outside the European Union
As AYAWOOD is established in Togo and operates internationally, your data may be processed outside the European Union. We ensure these transfers are covered by appropriate safeguards (standard contractual clauses or consent) in accordance with the GDPR.
